Hackmakers Privacy Policy

Congratulations on taking the first step on your innovation journey! Here is an outline of what we do with your data after you have registered.

Hackmakers is an incorporated organisation under the jurisdiction of New South Wales, Australia and is required to disclose the use of user data in accordance with our legal obligations. We have made our privacy policy transparent and easy to understand in line with our philosophy for open innovation and collaboration.

 

Data is categorized into personal data and non-personal data. Where personal data refers to any and all identifiable information about the individual, including their name, email address, country of origin, and any other factors relating to their social, cultural, economic or social identity. Non-personal data refers to their non-identifying responses and information collected via our technical partners and our partners.

 

What Personal Data do we collect?

 

Under Personal data we collect and store the following information:

  1. First Name

  2. Last Name

  3. Email Address

  4. Company / University

  5. Job Title

  6. Linkedin URL

  7. Country 

  8. Stage of Career

 

Age/ gender

 

We receive this information through our registration process or any other communication with Hackmakers or its employees.

 

How do we collect the data?

 

  1. Registration forms and account creation

  2. Cookies on our website

 

We work with partners who may also receive your data, these include:

 

  1. Companies or organizations who sponsor a Hackathon, and their employees, mentors or judges

  2. Technical and analytics providers who help us process your data (Google Analytics)

 

All partners enter into data sharing agreements with us which ensure compliance of data privacy laws

 

What do we use the Personal Data for?

 

The personal data provided is used for the following purposes:

  1. Registration to the Hackathon event

  2. Communication of essential competition related information - confirmation of registration, participation, submissions, qualifying and results information

  3. Communication of marketing and promotional information

  4. Showcase of winners or participation on our marketing and promotional channels

 

Your rights regarding your data and its protection

 

  1. You have the right to be informed about the collection and usage of your personal and non-personal data

  2. The Right of Access - you have the right to access all the data and information stored by Hackmakers

  3. The Right to Rectification - you have the right to request corrections of your data in case of any errors

  4. The Right to Erasure - you have the right to unsubscribe or request deletion of all your personal data from our servers

 

Rights & Ownership

 

  • We encourage participants to open source their projects to both share their hacks with the greater community and to promote innovation in this space.

  • For submissions to be open for future collaboration with the Oracle DevRel team, submissions need to include an open source license. Upon submission, Oracle can incorporate submitted IP in part or outright for future use. Any submissions that restrict its usage may also reduce the ability to collaborate with the Oracle DevRel.

  • Teams will be acknowledged for their contributions based upon the license terms included in the submission.

  • We, along with all parties involved in the development of the hackathon, reserve the right to use all participating teams’ and/or individuals’ names and likenesses in any publicity statements or events, including internet and website posts or articles, regarding the hackathon or the party’s involvement therewith.

  • By submitting a Submission, you grant Sponsor irrevocable, royalty-free, non-exclusive, worldwide right and license to use, distribute to the public, and publicly display and perform your Submission in any media, in connection with the hackathon.

  • Your Submission may be posted on a public website, or through any of Hackmakers’s or respective partner’s existing social media or marketing channels. We are not responsible for any unauthorized use of your Submission by visitors to this website. 

  • You will not receive any compensation or credit for the above use of your Submission, other than what is described in these Official Rules.

  • By entering the Project showcase competition you acknowledge that Sponsor and/or the co-sponsors or promoters of the Hackathon may have developed or commissioned materials similar or identical to your Submission and you acknowledge and agree that neither Sponsor nor any co-sponsors or promoters has now and will not have in the future any duty or liability (direct or indirect, vicarious, contributory, or otherwise) with respect to the infringement or protection of your or any third party’s patent, copyright or other proprietary rights in and to their content. 

  • Further you understand that we will not restrict work assignments of representatives who have had access to your Submission.

  • We, along with all parties involved in the development of the hackathon, reserve the right to use all participating teams’ and/or individuals’ names and likenesses in any publicity statements or events, including internet and website posts or articles, regarding the hackathon or the party’s involvement therewith.

 

Payment processes to winners, mentors and recognised individuals

 

  • Winners will be notified to fill out a form within one months after the winner’s ceremony of the hackathon. It is incumbent upon the winning individual, mentor or recognised individual to provide a working bank account to Hackmakers before the deadline to send a transfer of payment to.

  • Bank accounts must be provisioned to allow for international transfers (e.g. checking/ banking accounts) 

  • International transfer fees are excluded from the prize winnings and will be paid for exclusively by Hackmakers.

  • Where possible, Hackmakers will endeavour to pay out winning sums and credits within one month of the end of competition. There may be delays during the international monetary transfer process and this may also be dependent on the country of which the winner resides in. In that case, this money will continue to be earmarked by Hackmakers until an alternative method for payment has been fully investigated.

  • Entrants may not be a person residing in any country embargoed by the United States and/or subject to U.S. export controls or sanctions (including without limitation Iran, Cuba, Sudan, Syria and North Korea), or any other jurisdiction where the Competition is otherwise prohibited, licensed, restricted or taxed by applicable federal, state, territorial, provincial or local laws, rules or regulations and any other country designated by the United States Treasury's Office of Foreign Assets Control. It is your responsibility to ensure that you are legally eligible to enter the Competition and receive a Prize under any laws applicable to you in your jurisdiction of residence or otherwise.

  • If you reside in one of these countries, Hackmakers may still endeavour to fulfil prize distribution to you, but reserves the right to either replace prizes to something else of similar value at the discretion of the Hackmakers staff.

 

Code of Conduct & Additional Terms

 

  • We are dedicated to providing a harassment-free hackathon experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. 

  • We do not tolerate harassment of our participants in any form. Sexual language and imagery is not appropriate for any hackathon venue, including talks, workshops or online media. Conference participants violating these rules may be sanctioned or expelled from the event.

  • Any mediation of problems between competitors, teams and external parties regarding individual ownership of team ideas, personal disputes etc. will be decided by Hack Makers or nominated partners. All decisions will be final.

  • By submitting an idea or through being a mentor or judge, you agree that your personal information may be used in the promotion and results of this hackathon either by Hack Makers or third party sponsors.
